Reflect: Review and Update

Reflection is the step that keeps your system current and trustworthy. Regular reviews ensure nothing falls through the cracks and your priorities stay aligned with what matters.

Why Reflect?

Life changes. Projects evolve. Priorities shift. Without regular reflection, your system becomes outdated and you'll stop trusting it. The Weekly Review is the key to GTD success.

The Weekly Review

Set aside 1-2 hours each week to:

1. Get Clear

  • Empty your head of any loose items
  • Collect loose papers and materials
  • Process your Inbox to zero
  • Review your notes

2. Get Current

  • Review your calendar (past and next 2 weeks)
  • Review your Next Actions lists
  • Review your Waiting For list
  • Review your Projects list
  • Review your Someday/Maybe list

3. Get Creative

  • Look ahead at upcoming events
  • Identify new projects or actions
  • Capture new ideas
  • Update or remove outdated items

Daily Reflection

In addition to weekly reviews, take a few minutes daily to:

  • Process your Inbox
  • Review today's calendar
  • Check your Focus list
  • Adjust priorities as needed

Reflection Best Practices

  1. Schedule it - Make your Weekly Review non-negotiable
  2. Find your time - Friday afternoon or Sunday evening work for many
  3. Make it pleasant - Coffee, music, comfortable space
  4. Be thorough - Rushing defeats the purpose
  5. Stay consistent - Weekly reviews compound over time

What to Look For

During reflection, ask yourself:

  • What got done this week?
  • What didn't get done that I thought would?
  • What needs to come off my lists?
  • What new things need to go on?
  • Are my priorities still aligned with my goals?
tip

The Weekly Review is the single most important habit in GTD. Miss a week and your system starts to break down.
