Schedule actions

You can set a deferred start date for your actions or projects by scheduling your items. When the start date arrives, they'll move to the Next list and get a Focus star.

How to schedule items​

Desktop/Web​

Method 1: Drag and drop From a list, select an item or project and drag it over to the Scheduled list 📅. Select a start date from the calendar that appears.

Method 2: Edit item state When editing or creating a task, click the state (ex: Next, Active Project, etc.) and, from the context menu, change it to Scheduled. Click Start date and select one from the calendar that appears.

Schedule items for today​

Since scheduling is meant for items you intend to do in the future, you can't technically schedule an item for today. However, you can achieve the same effect by starring the action.

If you'd like to have a date attached to your action, you can give it a due date of today. This will give the item the Focus star as above, but will also add the label "Due Today" (which will change if it becomes past due).

When to schedule vs. due date​

Use scheduling when:​

  • You want to start working on something on a specific date
  • You need to defer an action until resources are available
  • You want to spread work out over time
  • You're planning ahead but not committed to a deadline

Use due dates when:​

  • There's an absolute deadline that must be met
  • External factors create a hard deadline
  • You need the urgency of a deadline to motivate action
  • Others are depending on completion by a specific date

Scheduling best practices​

  • Plan realistically: Don't over-schedule yourself on any given day
  • Leave buffer time: Schedule important items earlier than you think you need them
  • Review scheduled items: Check your scheduled list regularly during planning
  • Use both: Items can have both a scheduled start date and a due date
